Abstract

This chapter focuses on the Project Closeout Phase that includes the process to properly bring a project life cycle to an end. It discusses the material that should be saved, the reasons for saving it, the methodology to archive such material, and the lessons from the past history of the product. Project Closeout is the final step in drawing the project to a close. The system in this phase is declared surplus and/or obsolete and is or will be scheduled for shutdown. The chief emphasis of this phase is to ensure that data, procedures, and documentation are packaged and archived in an orderly fashion, making it possible to reinstall and bring the system back to an operational status, if necessary, and to retain all data records in accordance with corporate policies regarding retention of electronic records. In the Completion phase, all actions necessary to end project work and review project management performance are performed. This phase is used to improve on the overall process for future projects. This phase involves Close-out Paperwork (COP) that consists of all pertinent paperwork needed to verify that closure activities have been performed. Essentially, everything associated with the project should be assembled here and prepared for archive processing. The Closeout Letter formally announces the closure of a project, so that all groups and people know that the project has been completed and the product has been phased out.
