After reminding the mandate and the scope of the Run3 Installation Coordinator, the Run3 team members and their respective assignments will be present-ed. The methodology applied for the Run3 coordination will be explained and the priorities implementation will be shown. Based on the work carried out so far and on the results of the first Run3-LS3 PLAN exercise, the main interventions and challenges of the Run3 programmed stops, especially those linked to the anticipation of LS3 activities, will be underlined. Finally, the milestones will be integrated in the CERN accelerator complex long-term schedule following the methodology used to organise the Run2 programmed stops of the LHC and its injectors.

The exploitation of the CERN accelerator complex requires programmed stops of the operation, to execute various activities as standard maintenances, upgrades, consolidations and projects implementations. The Sec-ond Long Shutdown (LS2) of the LHC and its Injectors started in December 2018 and was completed by the end of 2020 for the Injectors and early 2022 for the Large Hadron Collider (LHC). A huge number of activities were performed during this period, with challenges at various levels, from technical, to organizational and managerial. This paper presents the coordination of the Programmed Stops of the CERN accelerator complex, within the Accelerator Coordination & Engineering (EN-ACE) Group for the LHC and its injectors, from the preparation process to the completion of these periods. It takes the recent LS2 as a reference, and it highlights key points of success and lessons learnt in terms of general coordination, quality assurance, configuration and lay-out management, spatial integration, planning and scheduling, operational safety, logistics and worksite coordination. It introduces the preparation of the Run 3 Programmed Stops coordination based on the successful LS2 methodology.

The preparation and follow-up of CERN accelerator complex programmed stops require clear processes and methodologies. The LHC and its Injectors were stopped in December 2018, to maintain, consolidate and upgrade the different equipment of the accelerator chain. During the Long Shutdown 2 (LS2), major projects were implemented such as the LHC Injectors upgrade and the LHC Dipoles Diodes consolidation. The installation of some equipment of the HL-LHC project took also place. This paper presents the application to the LS2 of the processes and tools to managed CERN programmed stops: it covers the preparation, implementation and follow up phases, as well as the KPIs, the tools used to build a coherent schedule and to follow up and report the progress. The description of the methodology to create a linear schedule, as well the construction of automatised broken lines and progress curves are detailed. It also describes the organizational set-up for the coordination of the works, the main activities and the key milestones. The operation of the Large Hadron Collider (LHC) at CERN started in September 2008. Every 5 or 6 years, Long Shutdowns (LS) are programmed to execute time-intensive ordinary and extra-ordinary maintenance of the LHC and its injectors. The second LS (LS2) started in December 2018 and was completed end 2020 for the injectors and early 2022 for the LHC. A huge number of maintenance, consolidation and upgrade activities, especially the upgrade of the injectors complex, were performed with challenges at various levels, from technical, to organizational and managerial. This paper presents the applied methodology put in place by the Accelerator Coordination Engineering (EN-ACE) Group, in charge of the technical coordination of the activities for the interventions and changes to the LHC and its injectors, to ensure that the installation activities are performed safely, meeting the required high level of quality, while optimizing the schedule. The LHC and its Injectors are submitted to an overall lifecycle of three to four years of physics delivery to Experiments with a two-year long stop, also known as Long Shutdown (LS). The years of physics delivery are ended by a programmed stop for the immediate preventive and corrective maintenance, also known as (Extended)-Year-End Technical Stop - (E)YETS. This regular cycle is to be addressed in parallel with other projects: the upgrade projects to the accelerator complex of the LHC (High-Luminosity project) and to its Injectors (LHC Injectors Upgrade), and the "standard" consolidation tasks. The AWAKE project at CERN was approved in August 2013 and since then a big effort was made to be able to probe the acceleration of electrons before the "2019-2020 Long Shutdown". The next steps in this challenging schedule will be a dry run of all the beam line systems, at the end of the HW commissioning in June 2016, and the first proton beam sent to the plasma cell one month later. The rigorous process in place at CERN to approve and follow-up the implementation of any modification of the LHC machine and its Injectors is presented in this paper. Our methodology implies the support of three teams, in charge of the configuration management, the scheduling and safety coordination, and the 3D integration studies. At each stage of the project the support of the three teams evolves, to provide the adequate support in the preparation phase and during the technical stops and long shutdowns. The First Long Shutdown (LS1) of the LHC and its Injector chain, which started in February 2013, was completed by the first quarter 2015. A huge number of activities have been performed; this paper reviews the process of the coordination of LS1 from the preparatory phase to the testing phase. The preparatory phase is a very important process: an accurate view of what is to be done, and what can be done is essential. But reality is always different, the differences between what was planned and what was done will be described. The Advanced Proton Driven Plasma Wakefield Acceleration Experiment (AWAKE) is a proof-of-principle R&D; experiment at CERN. It is the world’s first proton driven plasma wakefield acceleration experiment, using a high-energy proton bunch to drive a plasma wakefield for electron beam acceleration. The AWAKE experiment will be installed in the former CNGS facility and uses the 400 GeV proton beam bunches from the SPS, which will be sent to a plasma source. An electron beam will be injected into the plasma cell to probe the accelerating wakefield. Challenging modifications in the area and new installations are required for AWAKE. First proton beam to the experiment is expected late 2016. The accelerating electron physics will start late 2017. This paper gives an overview of the project from a physics and engineering point of view, it describes the main activities, the milestones, the organizational set-up for the project management and coordination.

The LHC and its injectors were stopped in February 2013, in order to maintain, consolidate and upgrade the different equipment of the accelerator chain, with the goal of achieving LHC operation at the design energy of 14 TeV in the centre-of-mass. Prior to the start of this Long Shutdown (LS1), a major effort of preparation was performed in order to optimize the schedule and the use of resources across the different machines, with the aim of resuming LHC physics in early 2015. The rest of the CERN complex will restart beam operation in the second half of 2014. The first LHC long shutdown was driven by the need to consolidate the 13 kA splices between the superconducting magnets to safely attain its center of mass design energy of 14 TeV. Access to the splices requires the opening of welded sleeves by machining. After consolidation, the sleeves are re-welded using a TIG orbital welding. The welding process has been modified from the original “as-new” installation in order to better adapt to the “as repaired” situation. The intervention has been thoroughly prepared through qualifications, organisation of teams, their training and follow-up. Quality control is based on the qualification of equipment, process and operators; the recording of production parameters; regular process audits and production witness samples; visual inspection through an official certifying body. The paper also describes welding and quality control of special intervention cases, with issues of difficult access requiring innovative solutions. This work concerns over 10 000 welds and a team of 40 engineers and technicians over a period of 18 months.
